We all use file archiver software, aka programs which are designed to create file archive formats like Zip, 7z, etc, which contain compressed files, useful for sharing via email or saving storage space. But sometimes, not every of these archives are very well compressed, at least not to the extent we want them to be, for example, say small enough to be attached to an email.

File size restrictions are often a major hindrance in web services like cloud storage or email services. Not every file which we share through these services, can be opened by the web browser. So, the recipient of the email has to download this file, and then use a third party program to open the file. It’s bad enough that they have to do this, the least you could do is send them files which are smaller in size, and hence can be downloaded faster. Also it consumes less bandwidth, so you save on your internet data consumption.

So, the question is, why do images, documents and some other files, not efficiently compressed by file archiver software? This is especially the case with multimedia files, which are almost never compressed. This is because the compression techniques in archivers,  use a special algorithm to compress the data in certain file formats, and hence you see some compression in normal files. But this does not work with files which already have data in a compressed format. Basically there is nothing left to be compressed.

The question is, is there anyway to circumvent this issue? One thing you could try is resizing images, but this could result in a loss of quality. And you can’t do this with documents and other files. Don’t worry, there is another way to compress files beyond the limits of regular archivers. For this, you need a software called NXPowerLite Desktop for Mac.

This app is specifically designed for compressing files in a very effective manner. Let’s analyze the app, and to do so let’s begin with the UI. You will see a bunch of icons in the main menu of NXPowerLite Desktop. These are the files it can compress, and here’s the list of the icons: PDF, PPT, DOC, XLS, JPEG and ZIP.

Don’t be fooled though, the program actually supports all versions of the file formats listed above (such as PDF’s sub formats A/X/E/UA/VT). To be more specific the macOS version of NXPowerLite Desktop supports all file formats of Microsoft Office 2007 and above.

How to add a file to NXPowerLite Desktop. That is a good question, and there are two ways to add files to the app, for compression. You can either click on the add files button, or simply open Finder (the default file manager in macOS), and select and drag the files to NXPowerLite’s UI. You can add files one at a time, or multiple files at once. Or should you wish, you can add multiple folders too, using the “Add folders” button.

That’s very helpful for converting a lot of files at once. But before that, you will want to set the options for compressing the file. After you add a file, a small window will pop up, with some information about the selected file (name, size, etc). You will see a few options there which lets you customize the optimization style to a certain extent.

Now, you may be thinking what happens to the original file, after the optimization is done. Don’t worry, the original file is left alone, and the new file is saved with a different filename, in the same folder where the original file is located. You can also change the naming scheme, and also a custom folder location for the new file to be saved.

Next come the optimization settings, which are listed under 6 Profiles. Each of these have some options which alter the way NXPowerLite Desktop optimizes the file. The available profiles are: Screen, Print, Screen no flattening, Print no flattening, Mobile and Custom.

The names should give you an idea of what the profiles do. But here is how the app actually works. It removes extra data added by other programs (which were used to create the file), which to be honest has nothing to do with the content of the file, and hence can be safely removed to reduce the size of the file. Similarly, images in PDF documents or Microsoft Office documents can be resized to fit the display of a particular device, say for example, a mobile phone. NXPowerLite Desktop also removes EXIF data, such as the camera information, resolution settings, etc which was used to take the picture, from JPEG.

Some documents come with objects embedded in them, and for these you can use one of the two no flattening profiles, to retain their original quality. Speaking of quality, a file optimized by NXPowerLite Desktop does not lose any of it, meaning there is no compromise on your file’s quality.

If you want to add files directly from Finder, select a file or more, and right-click on the selection, and hit the “Add to NXPowerLite” option to queue them for optimization.

nxpowerlite-desktop-mac-2The NXPowerLite Desktop has options for sharing the optimized files, directly via email. For this, you just need to select the “Optimize and Email/Send To” option. The other settings under the Optimize > option allows you to backup and replace the original file, or to save multiple copies of the optimized file. This can be useful if you want to perform some editing work on one of the copies of the file, and compare it with another saved copy.

There is a free version of NXPowerLite Desktop available, which you can try for 2 weeks, or optimize up to 20 files. Buy NXPowerLite Desktop for Mac at the lowest price ever, and save with our exclusive discount code. A single license for the software lets you use it on macOS or Windows.
